Vendor Application

APPLICATION PROCEDURE

Prior to registering, please read the Information for Vendors, Additional Information for Food Vendors, and Waste Separation Guidelines. Also review the Vendor Tips & FAQ. You are responsible for knowing all of this information and abiding by our vendor policies.

When using the online registration system, be sure to respond to all required questions, checkboxes, etc. Use the TAB key to navigate from question to question. The SUBMIT button is only active after all required fields are complete. You should receive an automated confirmation; however, we are receiving reports that this may not be working for all subissions. Booth space is not confirmed until payment has been received. Payments can be etransferred to admin@hillsgarlicfest.ca.

Returning Vendors: Deadline is March 31st for submitting your 2026 registration form. After that date, any unpaid spaces will be available to new vendors.

Vendor Invitees: If you have been contacted by the Coordinator and invited to register as a vendor, please complete the application for Returning Vendors as it provides more information we need to complete your registration than what is provided in the Waiting List application.

Waiting List: If you are interested in becoming a vendor, submit a New Vendor application (either Vendor or Food Vendor). You will be added to the waiting list. We reserve the right to manage the waiting list so as to maintain our current product mix and limit competition in any product category. Priority is given to vendors from the East/West Kootenays and Boundary regions. You will be notified if space becomes available and payment will be requested at that time.

2026 Vendor Fees
10' x 10' space, general vendor = $25 non-refundable registration fee + $60 space fee = $85
10' x 10' space, food vendor = $25 non-refundable registration fee + $150 space fee = $175
Additional 10' x 10' space, general vendor = $60
Additional 10' x 10' space, food vendor = $150
Electric power (food vendors only, limited availability) = $25 per 15 amp circuit

Note: Local non-profit organizations may qualify for a reduction in fees. Please contact the Coordinator after submitting your application.

Vendor

Your products must be grown, produced, or crafted in Canada. Any vendors selling imported products will be asked to remove them immediately without refund. If 30% or more of your sales is from prepared, consumable-on-site food, you must register as a food vendor.

Food Vendor

If 30% or more of your sales is from prepared, consumable-on-site food, you must register as a food vendor. A temporary or mobile food service permit, proof of liability insurance and completion of Foodsafe course for all food service operators is required.

Non-refundable registration fee: $25.00
Price per booth space: $150.00
Price per 15 amp electrical power connection: $25.00
